Contract Administrator | University of California Press

Reporting to the Director of Intellectual Property & Subsidiary Rights, the Contract Administrator will draft and issue standard contracts and rights licenses based on terms created and negotiated by the Director. These activities are time consuming and require careful handling and attention to detail. They are crucial to our ongoing success in selling and collecting rights revenue on behalf of UC Press and its authors.


  • Ensure that all licenses for books published are fully executed and all advances are paid. Post all licenses to SharePoint and enter terms to Bradbury Phillips.
  • Create ISBNs and title records in Title Management.
  • Assist in registering copyright for all books that UC Press publishes.
  • Watermark files for submission to foreign publishers to protect against
  • copyright infringement.
  • Post all contracts and terms to SharePoint.
  • Gather information and send materials as necessary in response to contract
  • requests.
  • Coordinate and prepare materials for book fairs and as needed to support
  • the department.
  • Administrative duties and special projects as requested.



  • High school diploma and four to five years of administrative experience. Bachelor’s degree preferred.
  • Solid knowledge of administrative procedures and processes including MS Word, Excel, PowerPoint, and database applications.
  • Ability to learn and effectively use proprietary and vendor applications.
  • Strong organizational skills.
  • Ability to track, prioritize, and complete work within deadlines.
  • Strong written, verbal, and interpersonal communication skills.
  • Enjoy working with a small, fast-paced team
  • Attention to detail.
