The Collective Book Studio is seeking a part-time Sales & Marketing Assistant to help grow our business and expand our outreach.  This position is a critical role that interfaces with the Collective Book Studio founder and its marketing team. The person in this role will report to the Collective Book Studio’s founder to meet internal deadlines, coordinate sales outreach, prospect for new accounts, and liaise with the sales reps at our distributor.

The candidate must have excellent communication skills (both written and verbal), be comfortable working independently, highly organized, able to prioritize and multitask while meeting strict deadlines, possess a can-do attitude, and be able to clearly communicate on behalf of the company.

In-office mailing, organizing, and book inventorying work is required in person 1-2 times per week in Oakland, CA.  25-30 hours per week.

Duties and responsibilities include but are not limited to:

  • Monitors, tracks, and responds to author event orders and logistics, and liaises with appropriate members of sales staff for follow up
  • Liaises with the marketing team to ensure all marketing and sales materials and PR hits are shared with the sales team. Communicate and track authors’ media opportunities and submit them to the distributor’s database.
  • Submits all seasonal frontlist titles for trade review and for relevant book awards
  • Weekly review copy, sales samples, and production material mailings out of our Oakland office and maintenance of in-office book inventory
  • Researches and maintains Collective Book Studio influencer, blogger, and “big-mouth” PR lists. Execute social media postings across platforms and develop an internal communications calendar, and outreach to potential creators and authors for content.
  • Performs sales-related administrative support duties for founder including tracking prospective specialty sales accounts, premium accounts, book clubs, and subscription boxes
  • Assists with preparation for sales conferences and preview presentations by gathering materials, updating powerpoints, and creating Edelweiss collections
  • File for author/illustrator copyright, apply for Library of Congress Control Numbers, submit titles for leveling, and perform other essential tasks to support CBS books and authors
  • Arrange publicity opportunities such as podcasts, speaking engagements, appearances, and interviews for The Collective Book Studio’s Founder.
  • Organize and manage giveaways, ads, and promotional material for authors including Goodreads/social media giveaways.
  • Build a database of and maintain successful relationships with the local SF Bay Area and other media outlets.
  • Assist in writing copy for online descriptions of our book titles.
  • Design Canva assets for social media, outreach, and newsletters.

Job Requirements:

  • Familiarity with or eagerness to pick up software project management tools (e.g. Airtable)
  • Bachelor’s or equivalent degree required, preferably in Marketing, Journalism, and/or Communications
    1-3 years experience in PR, journalism, bookselling, and/or book publishing preferred
  • Exceptional written and verbal communication skills
  • Strong work ethic, and ability to take initiative on projects
  • Possess strong attention to detail and simultaneously manage multiple projects
  • Ability to handle constructive criticism with a drive for continuous improvement
  • Must be comfortable and confident dealing with strong personalities while keeping a cool head
  • Strong interpersonal skills and sound judgment
